Position Purpose


The Client Care Centre Supervisor is responsible for the day-to-day management of the Mandarin Gallery Client Care Centre (MGCCC), ensuring the consistent delivery of RIMOWA’s service standards across all client touchpoints.


The role oversees client engagement, case management, warranty assessment, reporting, team performance, MGCCC spare-parts inventory and operational compliance.


Key Responsibilities

1. Client Care Centre Operations

  • Oversee the daily operations of MGCCC, including its reception and service activities.
  • Ensure all client enquiries, repair cases and service requests are handled accurately, efficiently and in accordance with RIMOWA policies, guidelines and service standards.
  • Assess damaged products and determine the appropriate service solution, warranty coverage and follow-up action in accordance with established guidelines.
  • Review and approve warranty claims within the designated level of authority, escalating exceptional cases where necessary.
  • Coordinate daily work allocation for technicians rostered to support MGCCC.
  • Maintain an organised, safe and efficient MGCCC environment.


2. Client Experience and Case Management

  • Ensure every client receives professional, empathetic and solution-oriented service throughout the repair journey.
  • Guide the team in identifying and clarifying clients’ concerns, needs and expectations before proposing solutions in accordance with RIMOWA guidelines.
  • Oversee the management of client feedback relating to products, repairs, technical matters and service standards.
  • Handle complex, sensitive or escalated client cases and support the team in achieving appropriate and timely resolutions.
  • Ensure clients receive clear and timely updates on repair status, quotations, lead times and any changes affecting their cases.
  • Ensure completed repairs and technical work are clearly explained to clients during product collection or handover.
  • Share relevant product-care information, service advice and brand updates with clients where appropriate.
  • Work closely with retail teams to ensure a consistent and seamless client experience across stores and MGCCC.


3. Performance, Systems and Reporting

  • Monitor Client Care performance against established key performance indicators, including Net Promoter Score, repair lead times and spare part inventory accuracy.
  • Monitor the productivity, workload and turnaround time of technicians during their assigned MGCCC shifts.
  • Analyse performance trends, operational issues and client feedback, and implement corrective actions where required.
  • Escalate technical quality, capability or broader technician performance concerns to the relevant workshop management.
  • Ensure all client cases, repair activities, warranty decisions and client communications are accurately and promptly recorded in the Repair Management System.
  • Maintain high standards of data accuracy, completeness and integrity.
  • Prepare and submit accurate reports when required.
  • Liaise directly with the Regional Client Care team regarding brand policies, operational guidelines, reporting requirements and Client Care initiatives.


4. MGCCC Spare-Parts Inventory Management

  • Oversee the receipt, storage, issuance, transfer and replenishment of MGCCC spare parts.
  • Ensure MGCCC spare-parts inventory is maintained at an appropriate level to support on-site service and repair activities while minimising shortages and excess stock.
  • Conduct weekly cycle counts and stock reconciliations to maintain MGCCC inventory accuracy.
  • Investigate stock discrepancies and implement the necessary corrective and preventive actions.
  • Ensure all MGCCC spare-parts movements, consumption, transfers and adjustments are accurately and promptly recorded in the relevant systems.
  • Ensure the proper storage, security and organisation of MGCCC spare-parts inventory.


5. Leadership and People Management

  • Lead, supervise and develop the Client Care team to achieve service, operational and quality objectives.
  • Set clear individual and team expectations, priorities and performance standards.
  • Conduct regular coaching sessions, performance discussions and development reviews for Client Care team members.
  • Identify capability gaps and establish appropriate training or development plans.
  • Manage the onboarding and training of new Client Care team members.
  • Plan manpower deployment, work schedules, shifts and leave arrangements to ensure adequate MGCCC coverage.
  • Coordinate with workshop management on the rostering of technicians required to support MGCCC operations.
  • Allocate work to technicians during their MGCCC shifts and monitor their productivity against agreed expectations.
  • Foster a positive, accountable, collaborative and high-performance team culture.
  • Address performance or conduct concerns involving Client Care team members promptly and in accordance with company policies.


6. Training and Retail Support

  • Train and coach retail teams on Client Care engagement, product assessment, after-sales procedures and applicable repair-handling processes.
  • Ensure retail teams understand current Client Care policies, warranty guidelines and escalation procedures.
  • Provide technical and operational guidance to stores to support accurate client communication and efficient service delivery.
  • Identify recurring knowledge gaps and recommend appropriate refresher training or learning initiatives.
  • Promote consistent Client Care standards across all relevant client touchpoints.


7. Compliance, Controls and Continuous Improvement

  • Ensure compliance with company standard operating procedures, internal controls, audit requirements and applicable policies.
  • Maintain complete and accurate documentation to support operational reviews and audits.
  • Regularly review MGCCC processes and recommend improvements based on performance data, client feedback and observed service gaps.
  • Drive initiatives to improve productivity, service quality, inventory accuracy and client satisfaction.
  • Participate in regional projects, system enhancements, process rollouts and new service initiatives.
  • Support business continuity and operational coverage during peak periods, system disruptions or manpower shortages.

**POSITION SUMMARY**
Inspect guest rooms, public areas, pool, etc. after being cleaned by Housekeeper to ensure quality standards. Run sold room reports, verify room status, determine discrepant rooms, prioritize room cleaning, and update status of departing guest rooms. Assist Housekeeping management in managing daily activities. Act as a liaison to coordinate the efforts of Housekeeping, Engineering, Front Office, and Laundry. Document and resolve issues with discrepant rooms with the Front Desk. Prepare, distribute, and communicate changes in room assignments. Communicate issues to next shift. Complete required paperwork.
Assist management in hiring, training, scheduling, evaluating, counseling, disciplining, and motivating and coaching employees. Follow all company and safety and security policies and procedures; report any maintenance problems, safety hazards, accidents, or injuries; complete safety training and certifications. Ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests' service needs; assist individuals with disabilities; thank guests with genuine appreciation. Speak with others using clear and professional language. Develop and maintain positive working relationships with others; listen and respond appropriately to the concerns of other employees. Ensure adherence to quality expectations and standards. Move, lift, carry, and place objects weighing less than or equal to 55 pounds without assistance and in excess of 55 pounds with assistance. Ability to push and pull a loaded housekeeping cart and other work-related machinery over sloping and uneven surfaces. Reach overhead and below the knees, including bending, twisting, pulling, and stooping. Stand, sit, kneel, or walk for an extended period across an entire work shift. Grasp, turn, and manipulate objects of varying size and weight, requiring fine motor skills and hand-eye coordination. Enter and locate work-related information using computers and/or point of sale systems. Read and visually verify information in a variety of formats (e.g., small print). Perform other reasonable job duties as requested by Supervisors.
PREFERRED QUALIFICATION
Education: High school diploma or G.E.D. equivalent.
Related Work Experience: At least 1 year of related work experience.
Supervisory Experience: At least 1 year of supervisory experience.

Job Description
The Housekeeping Supervisor will supervise the housekeeping and laundry operation to ensure product quality standards are met and that optimum service is provided to hotel guests according to hotel or company business objectives. He/She is accountable for safety, service and execution of the consistent Holiday Inn Express guest experience. He/She will also support and coordinate the administrative matters among Rooms Division - Housekeeping, Front Office and Engineering in ensuring the smooth operations of the Hotel. The duties and responsibilities include but not limited to the following:
**Financial Returns:**
+ Works with Housekeeping Manager to ensure department cost and expenses are in line with department budget
+ To run morning reports, these include: Housekeeping Room Status Report; VIP Report; Out-of-Order Report; Arrivals; Housekeeper's report
+ Prepares daily room assignments (maid's report) for morning shift room attendant.
+ Reviews message books for special requests or instructions
**People:**
+ Supervise the implementation of housekeeping standards and procedures in relation to:
+ Bedroom service
+ Bathroom service
+ Cleaning service
+ Linen maintenance
+ Recommended changes to these standards and training needs on an ongoing basis
+ Solve employee grievances
+ Ensure consistency within the department
+ Works with Superior and Human Resources on manpower planning and management needs
+ Open and close the shift and ensure effective shift hand over
+ Distribution and collection of master keys
+ Management of all incoming and outgoing calls
+ Issues keys according to floor assignments
+ Answers phone and logs all messages
+ Responds to any requests from guests
+ Informs supervisors of any special guest needs
+ Coordinates the make-up or rush rooms with Front Desk
+ Prepares and monitors room status reports for possible discrepancies
+ Transmits messages from guests to Housekeeping personnel, laundry department, F&B-room service, front office and engineering
**Guest Experience:**
+ Maintain a current and thorough knowledge of all housekeeping systems
+ Prioritise arrival rooms
+ Liaise with Front Office for guest and hotel requirements
+ Ensure guest valet is processed and delivered in a timely manner
+ Co-ordinate special projects (e.g. site rooms, vermin control, window and carpet cleaning, room inventories)
+ Management of lost property for the hotel
+ Manage all special requests made by guests
+ Ensure you have complete knowledge of room types, layouts and facilities
+ Perform room audits and ensure monthly room IHG Way of Clean audits are conducted and housekeeping employees are achieving set targets
+ Releasing rooms and room status management
+ Key work order for Engineering to follow up with the maintenance job.
+ Informs Assistant Manager or security of any emergencies brought to Housekeeping's attention
+ Manages the room attendant audit portal
+ Following up with Guest request by coordinating with both Engineering and Housekeeping departments
**Responsible Business:**
+ Manage storage areas
+ Maintain adequate stock levels
+ Complete stock takes as required
+ Maintain stock levels
+ Conducts shift briefings to ensure hotel activities and operational requirements are known
+ Record and manage all Lost and Found items
+ Coordinates the return of all lost and found items
+ Prepares the next day's schedule based on the house count
+ Calls in extra personnel when necessary
+ Coordinator to relief floor supervisor, training supervisor and Housekeeping clerk when they are off or on Leave
+ Checks whether all keys are in respective place
+ Coordinate with outsourced labour vendors and prepare monthly attendance report (Housekeeping and Engineering)
+ Prepare vendors' invoices to submit to Finance Department
+ Assist in keeping track of the IHG Crisis Management Calendar checklist on Global Evaluation Manager (GEM)
+ Assist in documenting audit files
+ Raise purchase orders
**What we need from you**
Supervises Housekeeping team in Singapore's leading SMART hotel. Responsible for the cleanliness and upkeep of the hotel (442 guest rooms), Great Room dining space, Rooftop swimming pool & fitness facilities and onsite DIY laundry.
+ Diploma in Hotel Administration, Hotel Management or equivalent and 2 years' housekeeping experience preferably in a hotel of similar size and complexity and including supervisory experience or training.

+ A positive and keen to learn attitude.
+ Great communication skills
+ Proficient in written and spoken English and with good communication skills

+ Check reservations for the day, ensuring that the restaurant and team members have tables ready and large bookings have been confirmed by phone.
+ Assist managers and kitchen team members where required and carry out any reasonable duties requested by the Manager.
+ Ensure that all team members are briefed for the details of the shift ahead.
+ Complete the checklist on preparing the restaurant for service.
+ Greet guests with a smile, offer assistance with coats, bags, etc., and introduce yourself.
+ Escort guests to a table and ensure that their preference and request are acknowledged.
+ Follow-up on any guest questions or queries immediately and if you don't have the answer, check with your manager.
+ Ensure that all service procedures are carried out to the standards required.
+ Make sure that all areas are cleaned and maintained in accordance with operating procedure.
+ Supervise the restaurant roster on a daily basis and ensure it is in line with the changing business levels, making any changes in order to achieve the F&B team service standards and budget goals.
+ Control the allocated labour for each shift to ensure that customer expectations are met whilst achieving the desired labour cost.
+ Assist restaurant managers with training all team members for the 'induction training' and 'on the job training'.
+ Offer team members constructive feedback about their performance after every shift in an aim to develop their skills and confidence.
+ Provide leadership and direction for all team members while on duty by offering professional skills and leading by example.
+ Ensure that the shift is reviewed, handovers and briefings are carried out.
+ Carry out any other reasonable duties and responsibilities as assigned.
