The Receiving Clerk is responsible for the receiving of goods as required, to achieve the lowest cost solution at least risk and in adherence with Management and Company procedures.
Principal Accountabilities
2.1 Collates purchase requisitions to order office supplies
2.2 Receives ordered products and merchandise from the different suppliers
2.3 Monitor and coordinate deliveries of items between suppliers to ensure that all items are delivered to the restaurant on time
2.4 Review inventories and prepare purchase orders for required materials, goods and supplies
2.5 Coordinates for the approval of purchase orders and invoice payments
2.6 Physically check on the quantity and quality of each product received, comparing the quantity and specification of the product
2.7 Stores products properly in the allocated places
2.8 Administers a comprehensive inventory count on all products once every month and a full count at the end of each fiscal year
2.9 Maintain complete updated purchasing records/data and pricing in the system
2.10 Prepare and maintain weekly and monthly reports
2.11 Source, select and negotiate for the best shipment package prior to collection of goods
2.12 Performs other duties pertinent to this job as assigned

3.1 Interacts with different departments to ensure accurate requisitions
3.2 Follow-up with suppliers to guarantee prompt delivery of products
Knowledge, Skills, and Experience
4.1 Diploma or high school certificate

SCOPE
The overall scope of this role is to receive, verify, and process of all goods received by the hotel. The incumbent will check all incoming goods against delivery orders and invoices, food specifications and purchase records to ensure that the type, amount, price and quality of items received and ordered are correct. He/she should maintain the highest level of business integrity in dealing with vendors and delivery persons.
OVERALL OBJECTIVES
- Receive all goods of the hotel ensuring that all deliveries correspond to the purchase order and specifications with regard to quality, quantity, price, etc.
- Ensures all goods received are delivered to the correct storage place/holding area.
- Updates daily receiving in the Purchasing/Inventory system and generates a daily receiving report for food, beverage, non-food and beverage on a timely basis.
- Send all invoices and delivery orders received together with print out of receiving summary to Accounts Payable section.
- Checking and keeping the weighing scales and receiving area clean, neat and tidy as per the hotel standard.
- Follow food and beverage safety and hygiene policies and procedures.
- Other ad-hoc duties

Job Objectives
To ensure complete accuracy of all incoming products upon receipt. Such accuracy, in alignment with Satair's quality objectives, shall pertain to documentation, part numbers, specification, description, quantity and quality of products.
Job Responsibilities
- Accept the consignment against Delivery Order/Note or Packing List
- Unpack and check the delivered items are correct with respect to part numbers, description, specification and quality as stated on the DO/Note or Packing List
- In case any discrepancies found – all must be reported into the claim database
- Inspect visually the condition of parts received particularly for any transit damage
- Checks the appropriate ARC/release note/Certificate of Conformance are provided for items. Contact the Quality Dept. in the event of missing or wrong certificates
- For shelf life controlled items, ensure remaining shelf life meets minimum requirement
- Report any Suspected Unapproved Parts to the Manager (Director) - Quality.
- Perform Goods Receipt into SAP. Ensure all shelf life data are captured for all shelf life controlled items. Print certificate front page and product labels
- Scan the documents and put the labels on the parts
- Put the parts away on an agreed bin location
- Maintain and ensure all Incoming Consignment Inspection Records and Certificates are filed for easy retrieval, correlation and identification
- Participate in a job rotation scheme.
- Work in a backup capacity by arrangement with the Manager - Warehouse
- Support outbound and other activities within warehouse during critical situation.
- Maintain tidy conditions in own working area and any other areas for which the individual is responsible.
- Assist in the filing of AWB, in running no. sequence &/or other documents when specified by Manager - Warehouse
Job Requirements
- Minimum Higher Nitec in related disciplines, candidates with 2 years of relevant experience will have an added advantage. Candidates with no prior relevant experience are welcomed to apply.
- Be able to communicate in English, both verbally and in writing
- Basic literacy and numeracy skills
