SCOPE

The overall scope of this role is to receive, verify, and process of all goods received by the hotel. The incumbent will check all incoming goods against delivery orders and invoices, food specifications and purchase records to ensure that the type, amount, price and quality of items received and ordered are correct. He/she should maintain the highest level of business integrity in dealing with vendors and delivery persons.


OVERALL OBJECTIVES

  • Receive all goods of the hotel ensuring that all deliveries correspond to the purchase order and specifications with regard to quality, quantity, price, etc.
  • Ensures all goods received are delivered to the correct storage place/holding area.
  • Updates daily receiving in the Purchasing/Inventory system and generates a daily receiving report for food, beverage, non-food and beverage on a timely basis.
  • Send all invoices and delivery orders received together with print out of receiving summary to Accounts Payable section.
  • Checking and keeping the weighing scales and receiving area clean, neat and tidy as per the hotel standard.
  • Follow food and beverage safety and hygiene policies and procedures.
  • Other ad-hoc duties

  • Positive, friendly, professional and confident, with good interpersonal skills.

Principal Accountabilities

2.1 Collates purchase requisitions to order office supplies

2.2 Receives ordered products and merchandise from the different suppliers

2.3 Monitor and coordinate deliveries of items between suppliers to ensure that all items are delivered to the restaurant on time

Job Objectives

To ensure complete accuracy of all incoming products upon receipt. Such accuracy, in alignment with Satair's quality objectives, shall pertain to documentation, part numbers, specification, description, quantity and quality of products.


Job Responsibilities

  • Accept the consignment against Delivery Order/Note or Packing List
  • Unpack and check the delivered items are correct with respect to part numbers, description, specification and quality as stated on the DO/Note or Packing List
  • In case any discrepancies found – all must be reported into the claim database
  • Inspect visually the condition of parts received particularly for any transit damage

  • Maintain and ensure all Incoming Consignment Inspection Records and Certificates are filed for easy retrieval, correlation and identification

  • Work in a backup capacity by arrangement with the Manager - Warehouse
  • Support outbound and other activities within warehouse during critical situation.

Job Requirements

+ To check all the supplies are in good condition upon receiving & deliver immediate information to supplier and procurement department in case any rejection/defect in same.
+ Acknowledging the supplies to vendors on receiving of proper documents in respect.

**Position Statement**
The core responsibilities of the Account Executive, Receiving are to ensure the smooth and efficient operation of cost control, storerooms, receiving and assist management in keeping the cost of food, beverage and other supplies to a minimum.
**What will I be doing?**
As the Account Executive, Receiving, you will be responsible for performing the following tasks to the highest standards:
+ Performs as Cost Clerks, Storekeepers, and Receiving Clerks.
+ Ensure that all incoming goods are received via the receiving area, with deliveries properly checked against purchase orders and market lists.
+ Ensure the security of all stores, including proper restrictions on the issue of keys and general access.
+ Record and verify on a daily basis all food and beverage invoices for price extension, total and unit prices which should conform to the approved market prices.
+ Ensure all inventory items are correctly set up in the hotel inventory system including sizes, descriptions, purchase units etc.
+ Ensure that proper records are kept of inventory receipts, issues, returns and transfers and proper authorization thereof.
+ Inspect and test goods whenever necessary especially with regard to food and beverage items.
+ Ensure that accumulated daily invoices agree to amounts transferred to Accounts Payable.
+ Make regular spot checks and inspections of storerooms, receiving area, and all outlets.
+ Check duty invoices to ensure that correct duty has been applied.
+ Have full and extensive knowledge of the hotel inventory system and be responsible for the maintenance of the system.
+ Advice users on the hotel inventory system and assist in the setup of requisition lists, purchasing lists, etc.
+ Ensure that the loading dock is kept clean and tidy at all times, free from clutter and hazards.
+ Maintain adequate control on all inward and outward goods into the loading dock and storerooms.
+ Maintain vigilance in ensuring the security of the loading dock.
+ Prepare daily and monthly cost reports according to operational requirements, organize cost communication meetings, and participate in profit and loss meetings when necessary.
+ Ensure current par stock levels are maintained and constantly reviewed.
+ Monitor and investigate spoilage and recommend appropriate actions to reduce.
+ Co-ordinate with the F&B Manager and Executive Chef on recipe costings.
+ Co-ordinate with other operating departments to perform costings.
+ Execute and coordinate the inventory of operation equipment and fixed assets with related department.
+ Conduct and co-ordinate monthly stock takes of outlets and storerooms as well as operating equipment with concerned departments.
+ Prepare monthly listing of slow moving and obsolete stock items with Cost Controller approval, ensuring that the received items are within the valid period to minimize spoilage.
+ Maintain good relations with other hotel departments.
+ Handle all requests and enquiries in a timely, efficient and friendly manner.

Tiong Lian Food Pte Ltd, a leading food processing, manufacturing and distribution company, is seeking a motivated and detail-oriented Inventory Executive to join our team. This full-time role will be responsible for managing and monitoring the company's inventory , ensuring efficient stock management and timely delivery to our customers.


What you'll be doing

  • Monitoring and maintaining accurate inventory records and stock levels across multiple warehouses
  • Coordinating with procurement, production, and logistics teams to align inventory with demand and optimize stock levels
  • Analyzing inventory data, identifying trends, and implementing strategies to minimize stock wastage and improve inventory turnover
  • Conducting regular stock takes and cycle counts to ensure accurate reporting and reconciliation
  • Identifying and resolving inventory discrepancies and implementing corrective measures
  • Assisting with the implementation of new inventory management systems and processes
  • Providing timely and accurate inventory reports to management

What we're looking for

  • Minimum 3 years of experience in an inventory management or supply chain role in the food manufacturing industry
