Job Summary
- Manage communication with the regional office, ensuring alignment with business planning and forecasting cycles.
- Assist and execute transactional activities for the business support team, directly contributing to the achievement of revenue targets outlined in the business plan.
Key Responsibilities
Monitor demand and manage supply
- Coordinate inventory and forecast meetings with the Project Manager.

Manage stock allocation
- Distribution of forecasted stocks, additional requests, and excess inventory to sales companies.
- Weekly allocation of stock to sales companies for shipment.
- Quick response to sales companies' inquiries and requests for additional stock.

Job Description
Purchasing
• Check and process Purchase Order (PO) based on sales order.
• Track orders and ensure timely delivery of goods, receiving, and invoicing.
• Checking supplier’s invoices with supporting documents such as PO & Delivery Orders (DO).
• Assist and support to spear head on all cost saving, reduction program and activities.
• Liaise and negotiate with vendors on required products/ services for the best price and payment terms.
• Compare and evaluate pricing proposals from vendors.
• Responsible for verification of discrepancies supplier’s invoice & DO with PO
• Follow up & ensure Credit Note (CN) has been received for goods returned or over billed.
• Verify and track total monthly purchase invoice in system.
• Proper scanning and keeping of documentation in the share drives.
• Keep track on the vendor’s contract terms.
Inventory
• Work closely with warehouse team on maintaining the stock list – identify the stocks and SB items
• Ensure loan inventory and SB items are monitored and actioned weekly.
• Check and create pre-order list and ensure that the sales team is aware on the available stocks in warehouse.
• Lead the preparation on stock take exercise and prepare the necessary steps before conducting stock take.
• Work with the store manager and marketing teams for any promotions (sales mechanics).
• Liaise with the store manager on monthly buy calendar based on brand product launch, new brand set-ups in the store.
• Work with the customer service team on customers’ return before submitting claims with vendors. To prepare replacement orders for customers (if any).
Logistic
• Monitor shipment and update the Costing & Purchasing and sales team for any incoming
shipments and/ or delays.
• Prepare and send tally sheet to warehouse team 1 week before shipment arrival.
• Report to HQ (vendor) for any discrepancy and damages.
• Liaise with HQ (vendor) shipping team for any shipments related queries and action to take.
Delivery to customer
• Monitor deliveries and returns from the warehouse and delivery teams.
• Ensure that all the DO are scanned in the shared drives by the warehouse team.
• Verify the invoices (delivery team) charges before submitting to the finance team to process.
Pricing and Promotions
• Follow the price calculation, and update brand retail selling price based on price list.
• Review the brand price factor and cost price yearly.
• Work with the store manager and marketing teams on product launch, brand trainings and sales mechanics.
