Job Description

As a Sales Support Executive, you will be essential in ensuring the smooth operation of the sales team by providing both administrative and operational support. Your primary role will be to improve the efficiency and effectiveness of the sales process, enabling sales representatives to focus on building and maintaining client relationships.

Key Responsibilities:
  • Provide prompt and effective responses to customer inquiries, prepare quotations, tender documents, and invoices, and coordinate with vendors to procure parts for on-site jobs.
  • Gather and store commercial data from various sources, compile reports and presentations as needed, manage and update client files, and assist in analyzing commercial information.
  • Prepare and consolidate contract documentation for signing, perform checks on contract documents, and address any disputes related to contract variations when necessary.
  • Coordinate with relevant departments to track project milestones, ensuring timely issuance of work completion certificates for invoicing.
  • Handle billing and invoicing in line with contracted payment terms, work closely with the estimation team on project costs, follow up on payments, and collaborate with customers and legal teams on complex payment terms, while reporting any major issues that could impact project cost and delivery.
  • Collect and manage customer feedback, track return rates of feedback forms, and identify areas for improvement.
  • Perform any other ad-hoc duties as required.
Requirements:
  • Diploma in business or a related field.
  • At least 3 years of relevant experience, preferably in the marine industry.
  • Experience negotiating with subcontractors and vendors for specialized and complex repair work.
  • Strong interpersonal, organizational, and computer skills.
  • Ability to multitask and work well under pressure.
  • Detail-oriented and comfortable with handling large amounts of administrative work.
  • Willingness to work in Tuas, with company transport provided.
