World Central Kitchen (WCK) is seeking a detail-oriented and proactive Travel Support Coordinator to assist with travel logistics during a period of increased operational activity. This temporary role will provide critical support to WCK's Safety and Security team, helping to book travel, coordinate with travelers, and ensure adherence to WCK's travel-related policies.
The coordinator will support staff and contractors deploying to domestic and international activations and will work closely with the Operations Center Manager and the Safety and Security Team. This is a short-term contract position, ideal for candidates with strong organizational skills and an interest in humanitarian operations, travel logistics, and security support.
Duration: This is a six month (6) contract term position with the opportunity for renewal. This position is intended to be remote temporary position. There is no travel requirement.

Key ResponsibilitiesTravel Tracking & Coordination
- Assist WCK staff and contractors with booking travel.
- Ensure travel information (flight details, contact numbers, destinations) is captured
accurately. - Submit travel information to safety and security vendors to track staff and contractor
locations. - Manage emergency rebookings and other unpredictable situations (e.g., cancellations,
activation needs).
Traveler Communication
- Send standard travel communications and reminders to staff and volunteers.
- Answer basic traveler questions regarding procedures and documentation, escalating
complex issues as needed.
Policy & Compliance Support
- Track compliance with WCK's global travel policy by reviewing checklists and
documentation for completeness. - Monitor daily movements for deviations that may affect safety protocols and flag
concerns to the Travel Manager or Operations Center.
Vendor and Administrative Support
- Maintain updated lists of preferred hotels, car rental vendors, and corporate airline
programs. - Utilize vendor relationships to maximize value and conserve resources.
Cross-Team Coordination
- Liaise with Safety and Security and Finance teams to support travel documentation and
record processing. - Join coordination calls as requested and take notes on travel-related action items.
Minimum 1 year of relevant administrative, operations, finance, or customer service experience
Proficiency with spreadsheets, Google Workspace/Microsoft Office, and shared drive systems
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Excellent written and verbal communication skills
- Professionalism and discretion in handling confidential information
- Proficient in both written and spoken English
- Alignment with the mission and values of WCK
- Must have a valid passport
Preferred Qualifications
- Familiarity with travel logistics or travel agency operations

- Facilitate logistical arrangements for all Familiarisation (Fams) Operations
- Work within stipulated turnaround time for appropriate budget paper, relevant approval documentation, particulars of participants and draft itinerary
- Depending on the market you are assigned to, you shall work with project or country managers to finalise itinerary
- Carry out logistical arrangements indicated in the itinerary drafted in a timely and professional manner
- Adhere to data protection guidelines when handling personal information
- All logistical arrangements must be executed in accordance with procurement guidelines (for instance, observing government Demand Aggregation ("DA") contracts and other processes like the appointment of Tourist Guides
- Booking and hiring transport and Singapore licensed tourist guides
- Reservations with hotels, restaurants, any food and beverage establishments in accordance with dietary constraints obtained
- Procuring entrance passes and tickets to attractions stated on the itinerary (e.g., Sentosa, Gardens by the Bay etc.)
- Facilitating entry to clubs, pubs, discos, other entertainment venues (e.g., Zouk, Marquee, Ce La Vi etc.)
- Organising camera shoots and filming arrangements, and obtaining permits (e.g., at shopping malls, Changi Airport, etc.)
- Notifying industry partners and service providers of the Fams, and obtaining all requisite approval/passes and consent forms, if necessary, for use of facilities, products and services
- Purchasing transport passes and/or gifts according to budget
- Packing welcome packs in accordance with profile of participants and make hotel 'room drops'
- Whenever required, you shall liaise with relevant parties to arrange for complimentary or sponsored tickets, accommodation and experiences in accordance with relevant guidelines
- Prepare welcome signage together with information kit and conduct a briefing for the assigned tourist guide prior to the participants' arrival
- Profile of the participants and aligned messaging should be conveyed to the tourist guide
- Adhere to all finance and procurement procedures including the cutting of Purchase Orders in the Workday and GeBIZ systems prior to each visit
- To work with respective Manager on itinerary details, deviation from itinerary and confirmation of ground arrangements
- Fulfil urgent requests or changes to the times, dates, or other details in the itinerary, before or during the fam trip, without compromising the quality-of-service delivery
- Follow and comply with all guidelines and regulations of Ministry of Manpower regarding the submission details of each overseas media personnel prior or upon their arrival
Collate all feedbacks gathered from participants and assigned tourist guide and highlight key feedback to the respective country managers and/or officer(s)-in-charge from the relevant departments
Process all invoices resulting from the trip and obtain certification and approval from relevant Managers where necessary
- Any other duties as assigned
Job Requirements
- Minimally 'O' Level Qualifications or equivalent
- 1-2 years of relevant working experience in admin and logistics arrangements, preferably for tours in a travel agency or event company
- Working knowledge of Microsoft Word, Excel and PowerPoint
Experience with Workday and GeBiz preferably
Ability to multi-task, have strong organizational and communication skills and perform in stressful and demanding environment
