Winning Work & Client Relationships

• Responsible for the development and maintenance of the client plan and positive client relationships.

Project Delivery

This role involves handling and supporting the claims process related to variations order (VO) or changes in the scope of work during the detailed design stage of the project. These variations may arise from design changes, unforeseen conditions, or client-requested modifications/changes. This role ensures that all changes to the project scope, costs, and timelines are well-documented, justified, and in compliance with the contract.

We expect the individual to be a proactive and dedicated and senior professional, who can meet the expectations of this role.

The successful candidate will have excellent technical, commercial and communication skills, as well as the ability to work collaboratively with various Team Leads and Discipline Leads for a solid and constructive outcome commercially for the project.

Key Responsibilities:

1. Variation Order (VO) and Change Administration:

• Assist in the preparation, tracking, review, processing and documentation of Variation Orders (VO) for changes.
• Ensure that all VO claims are well-documented and justified with proper evidence, including costs, time extensions, and changes in scope and presented them in chronological order.
• Monitor and track the status of VO claims throughout the lifecycle of the project.
• Maintain a central repository for all change management documents, ensuring they are readily accessible and up-to-date.

2. Claims Support and Documentation:

• Support the creation and management of change management claims, ensuring they include all necessary information such as cost implications, time delays, and justifications.
• Collect and organise all supporting documentation (e.g. drawings, schedules, correspondence) for each change item.
• Prepare and maintain accurate documentation for all VO claims, including technical and cost information.
• Coordinate with the Area and Sitewide team to gather relevant supporting information, such as drawings, correspondence, minutes of meeting, records and schedules.
• Provide regular updates to management on the status of VO claims, highlighting potential risks and delays.

3. Coordination and Communication

• Collaborate with the SAM Design Disciplines, Architect, other consultants, and the Client to resolve VO-related disputes and claims.
• Communicate and coordinate with Area Leads, Commercial Manager, Contracts Manager, Change Manager, etc. to assess the validity and impact of claims.

4. Cost Impact and Time Extension Analysis:

• Support the team in evaluating the cost impact of variations on the project, including resource and all associated cost.
• Provide assistance in collating information from the Scheduling Team in assessing the impact of variations on the project timeline and provide input for potential time extension claims to be undertaken by the Contracts Manager, if required.
• Monitor the budget and schedule to ensure that changes do not result in unapproved cost overruns or delays.

5. Compliance and Contractual Support:

• Ensure that all VO claims and variations are in compliance with the terms and conditions of the contract.
• Assist in reviewing contracts, change orders, and project documentation to ensure all claims are legitimate and well-supported.
• Assist Contracts Manager and Legal Team in preparing necessary documents for disputes, including supporting evidence, justifications, and expert reports.

6. Documentation Control and Reporting:

• Develop and maintain a tracking system to ensure that all change orders and claims are processed efficiently and timely.
• Provide regular updates on the status of claims and any potential impact on project timelines or costs.
• Prepare and present periodic reports on the cost and scheduling impact of changes, highlighting areas that require attention.

7. Collaboration with Project Teams:

• Work closely with Area Leads, Discipline Leads, engineers, and other team members to ensure that changes are properly documented and supported.
• Participate in meetings related to change management and claims, providing support in assessing the impact and gathering necessary information.

Required Skills and Qualifications:

• Education: Bachelor's degree in Civil or MEP engineering, Construction Management, Quantity Surveying, or a related field.
