Job Description

This part-time role offers a tiered hourly rate based on your total monthly hours, with a fixed working schedule:

  • Rate: $15/hour (for months with fewer than 50 hours worked)
  • Rate: $8/hour (for months with 50 or more hours worked)

Locations and Schedule

  • Parkway Parade: Friday to Sunday
  • Friday: 3pm to 9pm
  • Saturday: 9am to 5pm or 12.30pm to 9.30pm
  • Sunday: 9am to 5pm or 12.30pm to 9.30pm
  • Both shifts included 1 hour unpaid break

Responsibilities:

1. In-Center Class Activities:

  • Assist in planning and executing student activities, preparing and distributing small gifts and managing the coin exchange process.
  • Organize exchange items for easy retrieval and assist students and parents in claiming rewards; update the system with inventory changes.

2. Class Preparation Support:

  • Print necessary teaching materials, prepare textbooks for the new semester, and guide children to their classrooms.
  • Supervise children before and after classes, assist with restroom visits, and coordinate with teachers on activity support.
  • Ensure marker ink and other stationery are replenished in classrooms.
  • Organise and inventory stationery and teaching materials, and ensure supplies of drinking water and printer toner.

3. Customer Service:

  • Share course information with parents, have them fill out interest forms, and recommend suitable courses.
  • Assist in monitoring entrance exams, distribute free activity books, and follow up on inquiries via WeChat and business WhatsApp.

4. Any other ad-hoc duties required by the Management

The Student Affairs Executive (SAE) plays a key role in supporting children and families in our Early Intervention Programme (EIP) at the Autism Resource Centre (Singapore).

The SAE is responsible for managing student admissions, referrals, and administrative matters, as well as supporting families through their child's early intervention journey. While the work involves daily administrative tasks, it also offers opportunities to engage with parents, improve processes, and contribute ideas that help make our services more effective and family-friendly.

This role is ideal for someone who is organised, caring, and proactive; a person who enjoys both people and paperwork, and who takes pride in doing meaningful work that supports children on the autism spectrum.

Key Responsibilities

1. Student Admissions, Referrals & Enrolment

  • Manage enquiries, referrals, and applications for the Early Intervention Programme.

  • Liaise with parents and external agencies on admissions, assessments, and placement processes.

  • Track and report on student enrolment, waitlists, and statistics.

  • Prepare and maintain student records and ensure accurate data entry and documentation.

2. Student & Family Support

  • Serve as a point of contact for families on student-related matters such as attendance, fees, and general updates.

  • Assist with financial assistance, means testing, and other welfare-related applications.

  • Work with teachers and professionals to coordinate student and family matters.

  • Support families with clear communication and empathy throughout their child's time in the programme.

3. Administration, Reporting & Compliance

  • Handle administrative processes including fee management, reporting, and compliance submissions.

  • Maintain student databases and ensure timely updates and accuracy.

  • Support audit and reporting requirements for internal and external agencies.

  • Develop and maintain standard operating procedures (SOPs) for student administration processes.

4. Centre Operations and Initiatives

  • Assist the Centre Manager in projects and initiatives to improve family communication and service quality.

  • Help organise centre events such as Parent Communication Nights, Open Houses, and family visits.

  • Suggest simple improvements to existing processes to make them more effective or parent-friendly.

Requirements
  • Minimum Diploma in any discipline.
  • Proven track record in administrative or operations management roles, preferably in the education or social service sector preferred
  • Strong organisational skills with attention to detail and accuracy.
  • Good command of verbal and written English; able to communicate clearly and empathetically with parents and professionals.
  • Competent in Microsoft Office (Word, Excel, PowerPoint); familiarity with data systems and online reporting platforms preferred.
  • Ability to multitask and work efficiently in a fast-paced, dynamic environment.

Your mission

The Academic and Student Affairs department offers students an enriching and immersive academic and non-academic experience in EHL Campus (Singapore). It actively supports students and faculty members to prepare students for their future professional career. Your responsibilities will include

  • Support the Student Affairs Department in the organization of mobility promotion week in Lausanne Campus and the admissions' process for students enrolled into EHL Campus (Singapore). Travel to Switzerland when required.

Offline Course Assistance
Inventory and manage offline activity materials.
Count and organize offline teaching materials.
Sort and manage the distribution and exchange of offline rewards.
Classroom Support
Assist in distributing printed teaching materials.
Guide children to their respective classrooms.
Escort children to the restroom as needed.
Help tidy up the classroom after lessons.
Collaboration with Full-time Student Affairs Staff
Work closely with teachers to support and complete assigned tasks effectively.
Requirement:
