RESPONSIBILITIES
Administration
Manage school supplies; inventory, research, ordering, invoicing, deliveries etc.
Coordinate student transport arrangements (daily and field trips).
Liaise with external providers for arranging Enrichment Classes
Keeping a tidy reception area for welcoming guests.
Assist with student's break time, lunchtime and pick up.
Ad hoc duties as and when assigned by the Principal.
Admissions
Manage and oversee the entire admissions process from initial inquiry to enrolment.
Respond to inquiries from prospective students and families via phone, email, and in-person.
Conduct campus tours and provide detailed information about the school.
Assist in open house events.
Coordinate student assessment with prospective students and families.
Ensure that all required documentation is submitted and complete.
Maintain accurate records of all admissions activities and update the admissions database regularly.
Work with the Director to develop and implement student recruitment strategies.
Attend school fairs, open houses, and other events to promote the school and attract prospective students.
Assist in marketing strategy and implementation
Provide regular reports on admissions statistics and trends to the School Principal and School Director.
Parent Liaison
Handle all communication and enquiries from current parents
Build and maintain positive relationships with students, families, and external stakeholders.
Other
- Other responsibilities may include website and social media management; student invoicing and contract management; artwork design and events preparation management.
Job Skills, qualifications and visas
English Speaker
Knowledge of and experience in Google Suites,Xero, Excel and Word
Highly organised with good interpersonal skills

Educational Administration Officer
XCL World Academy is seeking to recruit an Educational Administration Officer. The successful incumbent will be responsible for supporting the Secondary Years leadership team with the management of the daily operations of the secondary school. It is expected that the Educational Administration Officer will have a good understanding of school management information systems in addition to strong communication and interpersonal skills - will be required to interface with school staff, students, and parents/guardians.
Main Responsibilities- Coordinate and manage daily cover/supply arrangement for the Secondary Years - in conjunction with the Dean of Student Life.
- Manage and coordinate the deployment of cover/supply teachers.
- Student Attendance/Arrival tracking - Inclusive of contacting parents whose ward has not arrived at school and communication regarding their absence has not been received.
- Tracking of teachers who have not recorded student attendance.
- Attendance Tracking - To ensure students are meeting attendance requirements as set by the authorities (ICA).
- With support from the IB Coordinators and Dean of Student Life, lead exam timetabling and invigilation schedules (Semester Examinations, Mocks, MYP and DP Examinations, CAT4, PASS, MAP, PIVOT).
- Ensure set-up and smooth running of the internal examinations process including the coordination of the deployment of invigilators.
- Understand and operate the areas of the schools integrated management system (PowerSchool, and any related software programmes, that support the organisation of the curriculum; assessment and reporting to parents (Managebac, OpenApply).
- Make changes to the Secondary Years timetable, staffing and rooming in PowerSchool throughout the academic year (Where required).
- Ensure that school management information systems are set up accurately in preparation for reporting periods.
- To assist in the SY office in the absence of the Executive Assistant.
- Fulfil other relevant divisional duties as directed by the SY Principal.
- A Diploma/ Degree in Business Administration or in other related fields.
- Minimum 2 years' experience in a school, preferably in an international school setting (Secondary Years).
- Previous experience in an administrative or similar role.
- Able to manage and handle systems comfortably.
- Excellent English Language communication skills (Verbal & Written).
- Team player, ability to work with tight deadlines and solution focused.
- Flexible, adaptable and quick learner.
