Job Purpose
The School Administration Manager (Preschool) is primarily responsible for overseeing comprehensive administrative support across the preschool, ensuring efficient operations and enhanced communication between preschool director, academic departments and parents. This role includes strategic leadership of the School Services team (Preschool), management of academic and non-academic events, and coordination of communications. Key Accountabilities
Team Leadership
- Leadership and Oversight: Oversee the School Services team, ensuring high standard administrative support are maintained across the school. Directly manage task delegation and project assignments within the team
- Strategic Support: Work closely with Preschool Director and the Head of School Services to develop and implement strategic administrative initiatives and SOPs
- Senior Communication Role: Manage preschool-wide communication efforts to ensure consistency and clarity across all departments and sections in terms of SOP and community-wide messages
- Advanced Complaint Handling: Take a lead role in managing and resolving complex complaints, escalating to Preschool Director or Head of School Services where necessary
- Parent and Community Engagement: Serve as a senior point of contact for parents, enhancing family relationships and satisfaction with school operations
- Performance Management: Evaluate and research new procedures to improve the family experience, coordinating feedback to and from other operational departments
- Provide comprehensive administrative support to academic departments, including managing calendars, scheduling meetings, and preparing documentation

His/her work includes leading in the planning and implementation of school events/activities, including parent and community engagement activities, to ensure that children of diverse abilities learn, play and grow together to become emotionally resilient and compassionate citizen of the future.
The Principal oversees the planning and implementation of curriculum and mentor, coach and develop the team to achieve the Inclusive Preschool objectives, outcomes and impact. He/she ensures the viability of the preschool as a business entity and is in charge of the operations and governance of the preschool by developing and implementing AWWA policies and processes.
Job Responsibilities
1. Leadership & Planning
- Lead the team to achieve the Inclusive Preschool goals.
- Clarify and promote organisations’s mission and core values
- Implement policies and ensure compliance with quality standards and statutory requirements
- Oversee planning and implementation of curriculum and processes to support achievement of the school objectives, including development of the children
- Plan and oversee the day-to-day operations of the centre to ensure its smooth functioning
- Plan for and lead in the implementation of school activities and event
- Lead, guide, coach and inspire staff team for peak performance
- Supervise and monitor progress and achievement of work outcomes of staff team
- Plan, review and evaluate the performance of the staff in the centre
2. Quality and Standards
- Monitor the effectiveness and quality of learning programmes and curriculum, including the level of caregiver satisfaction at the school.
- Ensure the quality standards in all areas, including delivery of learning programmes, curriculum, operations, administration, health and safety of theschool
- Work with curriculum specialists to ensure consistent quality standards are met.
- Follow up with public and parents’ concerns and feedback
3. Development of Staff
- Oversee the induction, and on-the-job training and development of staff so that they are equipped with the skills and competencies required for the job
- Mentor and coach teachers to ensure high standards of curriculum delivery
- Plan and recommend the professional and career development of the staff
4. Engaging Parents and Community
- Set up various platforms to engage and establish good relationship with parents and the community eg, plan and organize PTC, parents’ orientation
- Lead in the planning and implementation of community projects to increase community engagement and awareness for the school.
5. Achievement of Business Results
- Prepare financial budget for the school
- Ensure budget is met by managing the financial performance, including monitoring monthly and support marketing efforts to ensure enrolment and enrichment targets are met

Reception
1. Managing front desk duties such as handling telephone calls and
walk-in enquiries from students and visitors;
2. Providing necessary assistance and advice to students who need
special attention;
3. Receiving of deliveries and courier services and distribution to the
relevant parties;
4. Render first level assistance to unwell students and follow up with
both teacher-in-charge and parents till the students are back to
class/home;
5. Attending and providing first aids to injured students and follow up

6. Assist student in times of need, eg lost & found items, change of

General Admin
1. Liaising with relevant parties on school maintenance and
improvement works to be carried out to the school buildings;
2. Recording of incoming and outgoing mails & faxes;
3. Prepare dispatch pouch to MOE HQ for courier pick-up and sorting of
contents of dispatch pouch from MOE HQ and direct
correspondences to the respective staff for their follow up action;
4. Assisting in simple data entry and filing of documents;
5. Assisting in simple co-ordination work such as collection of forms
from the different levels;
6. Maintaining the cleanliness & tidiness of the reception area and the
General Office on daily basis; and
