The Site Supervision Officers’ duties shall also include but not limited to the following:
· Conduct regular checks on the stock-in and stock-out of materials within Suppliers’ stockyard to conform within contract requirements – this include but not limited to visual inspection and regular quality checks deem necessary to ensure the quality of materials;
· Conduct joint samplings with suppliers on Materials quality testing and sending of samples to the Approved Laboratory in accordance with Supply contract requirements and approved Standard;
· Check, collate and compile all necessary supporting and shipping documents such as permits, Bill of Lading, cargo clearance, etc to be in compliance with supply contract requirements;
· Compile and prepare monthly shipments schedule of all Materials’ suppliers. Take necessary action to inform the Project Manager and/or the SO Rep on irregularities found in all Materials’ supplier’s shipments or source related matters;
· Ensure and update on daily contingency stock buffer in Supplier stockyard as required in Supply contract requirement;
· Conduct measurements of moisture content as stipulated in supply contract requirements and update the record diligently and regularly;
· Ensure no manual entry of weight data in the sales system for material delivery and no tempering of sales system that is deemed against the requirements of the supply contract for Material Suppliers;
· Monitor the Material Suppliers’ daily material dispatch progress and immediately follow-up with the Material Suppliers to rectify slow delivery should the Material Suppliers fail to deliver the material in accordance with the Construction Contractors’ daily orders schedule;
· Prepare and update daily site status report (and/or other reports deem necessary by the SO Rep) to the Project Manager for onwards submission to the SO Rep;
· Conduct regular audit checks on the sales procedures of Material suppliers, sales system, weighbridge calibration, delivery truck fleets, etc and highlight non-compliances to project managers and/or SO Rep;
· Collate and manage the daily returns of delivery orders and DOS files from HDB Materials’ suppliers to the Managing Agent sales team;
· Analyse test reports and follow-up for rejected goods; and
· Ensure the execution of Supply and Works are as described in the Specifications and deemed necessary for the successful completion of the Contract.
