Broad Function
Carry out administrative and operational duties for various nursing departments and provide administrative support to the Assistant Directors of Nursing (ADNs) in the planning and operation of Peri-operative Services, Medical/Surgical Wards, Outpatient Clinics and Ambulatory Services, Specialty Wards (e.g. ICU), and Infection Control over multiple hospitals/sites.
Specific
- Clinical Admin Support Team (CAST) - Provide administrative support and partnership to nurse leaders in clinical areas to enhance the level of clinical care to patients:
- Assist with the planning of department rosters and staff leave through operation of rostering software to ensure optimum staff numbers on duty
- Provide basic administrative and technical support of rostering software application to users
- Support nurse leaders in the submission and approval of shift claims on a monthly basis, ensure shift attendance records are accurate
- Maintain and organize department files and documents regularly, and seek to ensure all records are complete (both electronic and paper records)
- Ensure adequate office inventory by ordering supplies through the procurement portal
- Support nurse leaders with department data and statistics where required
- Represent the department to engage and liaise with other departments or external parties where required
- Provide logistical planning and support for department-related events where required
- Support the ADNs in planning and operations of non-clinical areas including:
- Strategic planning, organizational development, e.g. timely compilation and submission of regular department reports
- Manpower recruitment, deployment and staff engagement, e.g. nursing retreat, team building and nursing workshop, leave balloting
- Training and development, e.g. co-ordinate department staff training for internal/external course.
- Finance e.g. annual budgeting and track budget utilization
- Resource management
- Database management, e.g. maintain and submit staff training hours to Singapore Nursing Board (SNB).
- Provide secretariat support for Department of Nursing Admin (DNA) and division meetings:
- Provide administrative support to ADNs:
- Schedule and co-ordinate appointments, meetings and presentations
- Prepare presentation materials for meeting
- Record minutes and coordinate meeting follow-up
- Inform/Remind HOD on important matters and timelines
- Assist and follow up with workgroups on peri-operative planning
- Provide administrative support for Nursing Division
- Maintain office stationery for the department.
- Update and maintain departmental files such as KPIs, Policies, Work instruction, Orientation files etc.
- Collaborate with other Nursing units on Divisional level activities as assigned e.g. open house for mass recruitment.
- Collaborate with other Divisions/Departments on organizational level activities as assigned e.g. cross-department committees.
General
- Co-ordinate and participate departmental activities
- Precept and mentor junior staff. Induct and train new staff
Job Requirements
- Diploma or equivalent in any discipline
- Preferably with some administrative experience in healthcare
- Competent in Microsoft Office applications

About Department and Purpose of the Position
Nursing Administration works with Nursing leadership to oversee a range of functions including quality, innovation and technology, education, professional development, operations, information technology, risk, finance, strategy, infection control and sustainability.
The job holder will play a key role in supporting the quality and innovation functions in Nursing department. This existing position plays a crucial role in driving quality improvements and implementing innovative solutions, with a particular emphasis on AI and robotics applications in nursing care including management of research grant. The successful candidate will contribute to our ongoing project involving robots to assist in nurses' work.
Key Responsibilities
Nursing Quality & Innovation
- Assists in managing the day-to-day operations of the Nursing Department, ensuring high standards of patient care and staff performance.
- Leads quality improvement initiatives, identifying areas for enhancement and implementing best practices.
- Spearheads innovation projects, particularly those involving AI and robotics in nursing care.
- Collaborates with the robotics project team to develop, implement, and evaluate the effectiveness of robotic assistance in nursing tasks.
- Analyzes data and prepare reports on quality metrics and innovation outcomes.
- Conducts training for nurses and colleagues on quality improvement, new technologies and innovative care practices, including facilitating quality improvement workshops.
- Ensures compliance with healthcare regulations and organizational policies. Supports Nursing in compliance to audits’ standards.
- Participates in interdepartmental meetings and committees to represent the Nursing Departments’ quality and innovation interests.
- Supports Nursing Innovation and Technology Workgroup in the capacity of secretariat, including administrative support and coordination with external parties for innovative projects.
- Supports Nursing in managing and administrate research grant, ensuring compliance with grant requirements, timelines, and budgets.
- Establishes and maintains relationships with funding agencies, potential partners, and other stakeholders in the healthcare innovation ecosystem.
- Facilitates, coordinates and supports Nursing Leadership with the department annual workplan.
Secondary Responsibilities and Duties
- Leads and/or supports projects and initiatives of Nursing Department.
- Provides secretariat support to the Nursing Department when necessary.
- Consolidates, reviews, and analyses periodic and ad-hoc statistical and management reports.
- Undertakes any other tasks assigned by the Section Heads, Assistant/Deputy Directors of Nursing and Chief Nurse.
Key Requirements
- Bachelor’s Degree in Business / Engineering / Industrial Design / Healthcare preferred or a degree from a recognized institution.
- Demonstrated knowledge of quality improvement methodologies and innovation processes in healthcare.
- Strong understanding of AI and robotics applications in healthcare, or willingness to learn.
- Proficient in Microsoft Office, particularly Word, Excel and PowerPoint.
- Excellent communication, interpersonal and problem-solving skills.
- At least two years of experience in facilitating workshops and conducting training.
- Ability to lead and motivate teams in a dynamic healthcare environment.
- Self-motivated, able to work independently to meet timelines in a fast-paced environment.
- Experience with project management, particularly in technology implementation.
- Familiarity with data analysis and statistical tools.
