Roles & Responsibilities
· Assist in administering, monitoring and maintaining the company’s IP/trademark portfolio in multiple jurisdictions, ensuring all records and databases are accurate, up-to-date, and secure.
· Coordinate with external legal counsel on trademark filings, renewals, oppositions, and other IP-related matters according to jurisdictional requirements.
· Conduct surveillance of trademark filings through global trademark databases, identify potential conflicts or infringements and prepare watch reports for management’s assessment.
· Assist in preparation and drafting legal documents and agreements. Provide administrative support as required.
· Administer and maintain the legal documents repository system. Manage tracking, timelines, deadlines and reminder alerts for contract renewal to ensure compliance.
· Maintain a systematic archive of IP use evidence (e.g. advertisements, POSM, digital and print campaigns) for each market and product.
· Support brand protection and enforcement program including day-to-day communications with external stakeholders, update progress of takedown programs and other tasks.
· Ad-hoc projects and tasks assigned by the management.
Requirements
· Possess a good diploma or degree.
· At least 1-3 years of relevant experience in secretarial / IP management / legal support roles, either in-house (preferably in the consumer healthcare line, FMCG or related industry) or in a law firm.
· Knowledge of trademark related requirements in Asia Pacific / Middle East / US jurisdictions are helpful. Additional knowledge or experience in legal agreement / IP licensing is an advantage.
· Proficient in legal documentation, highly ethical, discreet, uphold confidentiality and integrity.
· Strong organizational / secretarial / administrative skills, meticulous and attentive to detail, with the ability to manage both structured legal processes and day-to-day admin responsibilities.
