Job Responsibilities

  • Assist the AHO Manager in maintaining the operations system and processes of various services to effectively support the hospital in delivering its services. The services include but not limited to:

      a) Laundry and linen services

         b) Food services

    c) Purchases of services

         d) Senior Mobility & Enabling Fund
  • Provide general support to the AHO Manager on all operational matters pertaining to the services under the purview of Allied Health and Operations.
  • Assist in the development and maintenance of a filing system for the current as well as new services and pilot projects, participating in the setting up of work processes operations systems and procedures to effectively support the new services.

  • Support AHO Manager in contract management, generate monthly report to monitor the trend of expenses, performance satisfaction and ensure quality and continuous improvement.

  • Keep track of the expiry and renewal of all service/maintenance contracts for Operations, including the sourcing for quotation and preparation of vendor evaluation.
  • Oversee the inpatient meal processes, food quality and patients' experience and attend to the feedback from ward staff, patients and patients' families.
  • Oversee the linen and laundry processes and ensure that there is sufficient par level of linen for the wards and the curtains are changed quarterly or as required.
  • Work closely with infection control team and conduct inspection on food services and linen and laundry services.
  • Assist therapists in SMF application, order mobility devices, consolidate payment and submit quarterly funding claim.
  • Assist in operating the pandemic and business continuity plans in connection with the hospital-wide response plan in the event such plans need to be activated.
  • Nominate as an Emergency Warden to be physically able to handle fire extinguisher and walk down the stairs. One who is calm in an emergency and stressful situation.
  • Participate in quality improvement initiatives/projects.
  • Keep track of the expiry and renewal dates of all licenses and accreditation; submit renewal applications, assist the AHO Manager in the co-ordination for audits and inspection.
  • Assume other responsibilities relevant to position as delegated from time to time, including work relating to the expansion of services and development of new services or new projects

Requirements:

  • General degree or equivalent from a recognised institution is required. Additional qualification in healthcare services would be an advantage.
  • At least 3 years of working experience in similar capacity.
  • Some knowledge of healthcare operations and service processes is essential.
  • Must demonstrate initiatives; able to work in collaboration with other professionals in the multi-disciplinary hospital team.
  • Should have good communication and inter-personal skills and be able to relate well with colleague and external partners.
  • Adequate knowledge of IT is essential as the hospital moves into an electronic records environment.

Job Description

We are looking for a motivated Executive, Allied Health & Operations (AHO) to support the delivery of operational services within the hospital. This role reports to the Manager, Allied Health & Operations (AHO) and will play an important part in ensuring the smooth functioning of essential services such as food, linen, contract management, and mobility funding.

Responsibilities
  • Assist the AHO Manager in maintaining and improving operations systems and processes for services including:

    Laundry and linen services

    Food services

    Purchases of services

    Senior Mobility & Enabling Fund (SMF)
  • Support the development and maintenance of filing systems for current and new services, including pilot projects.
  • Provide general administrative and operational support to the AHO Manager across services under Allied Health & Operations.
  • Manage contracts, monitor expenses and performance satisfaction, and ensure quality and continuous improvement.
  • Track expiry and renewal of all service/maintenance contracts, source quotations, and prepare vendor evaluations.
  • Oversee inpatient meal processes, food quality, and patient feedback.
  • Oversee linen and laundry processes, ensuring sufficient stock and timely curtain changes.
  • Work closely with the infection control team to inspect food, linen, and laundry services.
  • Assist therapists in SMF applications, mobility device orders, payments, and quarterly claims submission.
  • Support pandemic and business continuity plans as part of hospital-wide emergency response.
  • Act as Emergency Warden, being physically able to manage fire extinguishers, handle emergencies, and remain calm under pressure.
  • Participate in quality improvement initiatives/projects.
  • Track expiry and renewal of licenses and accreditations; support audits and inspections.
  • Undertake other responsibilities as delegated, including service expansion and new project development.
Requirements
  • A general degree or equivalent from a recognised institution (healthcare-related qualification is an advantage).
  • At least 3 years' experience in a similar capacity, preferably in healthcare operations.
  • Knowledge of healthcare operations and service processes.
  • Strong initiative, teamwork, and communication skills.
  • Adequate IT knowledge to support operations in an electronic records environment.
  • Ability to collaborate across multi-disciplinary teams and engage with external partners.
