The Fleet Maintenance cum Procurement Assistant is responsible for supporting the daily
operations of the fleet maintenance activities and procurement functions. This role ensures
timely vehicle servicing, manages the sourcing and purchasing of parts and materials, and
maintains accurate procurement records. The ideal candidate will coordinate with the
maintenance department, monitor fleet condition, and support project material purchases,
particularly for HDB projects.
Key Responsibilities:
Fleet Maintenance Coordination:
- Monitor fleet maintenance requests from drivers and operational staff.
- Liaise closely with the Maintenance Department to ensure timely repair and servicing of vehicles.
- Assist in planning and updating the fleet maintenance schedule.
- Arrange spare trucks or replacement vehicles for drivers if existing vehicles require prolonged servicing.
- Keep records of all maintenance activities and related costs.
Procurement & Inventory Management:
- Source and purchase spare parts, vehicle components, and consumables.
- Maintain and update procurement records in Xero accounting system.
- Work with suppliers to ensure competitive pricing, quality, and timely delivery.
- Track and follow up on purchase orders, delivery, and invoicing status.
Project Material Management (HDB Projects):
- Coordinate and manage procurement of raw materials required for HDB projects.
- Ensure timely purchase and delivery of materials.
- Work closely with teams to understand material needs and priorities.
Requirements:
- Proven experience in fleet coordination and/or procurement roles.
- Good knowledge of vehicle maintenance processes and spare parts.
- Familiar with Xero
- Strong coordination, communication, and problem-solving skills.
- Ability to multitask and manage time effectively in a fast-paced environment.

They will be responsible for overseeing the maintenance and operations of heavy vehicles, ensuring fleet readiness, coordinating repairs and servicing schedules, managing logistics operations, and optimizing fleet performance.
- Assist the Manager to manage an in-house workshop for prime mover and trailers.
- Allocate repair work to mechanic technicians and supervise them accordingly.
- Verify repair quotations for prime mover and trailers.
- Conduct inspections on vendors sites to ensure repairs works are completed timely and meet our expectations.
- Ensure staff is equipped with relevant skills, knowledge and certifications to perform necessary work.
- Ensure timely completion of work as per target set by management.
- Work closely with Transport Department to ensure prime mover and trailers are serviced in time for LTA inspection.
- Work closely with Procurement department to control inventory availability and cost.
- Prepare statistics and reports to review performance and make recommendations on operational and procedural enhancement / improvement.
- Attend to drivers’ feedback / call and recommend next course of action.
- Ensure supply of safety kits / PPE to staff and ensure adherence to safety regulations and safe work practices.
- Ensure availability of tools, material, spare parts and proper upkeep of inventory and assets
- Ensure good housekeeping of the workshop.
- Ensure opening and closing of job cards is updated timely.

Requirements
- Diploma holder in mechanical engineering or related field.
