Job Description
The Finance Team Lead is responsible for leading a team in resource planning, analysis, and reporting, including budgeting, financial forecasting, and cost-benefit analysis. The role also involves providing finance business partnering support to faculties, enhancing internal controls, managing gift finance, and ensuring the integration and improvement of financial systems and processes. The finance lead will collaborate with faculty and central management, drive continuous improvement initiatives, and maintain accurate financial records and reporting.
Duties & Responsibilities
Resource Planning, Analysis, and Reporting:
Plan annual budgets and prepare financial forecasts and variance reports.
Prepare cost-benefit and profitability analysis and simulations for programmes/projects.
Calculate and issue financial and operating metrics for cost/overall performance tracking.
Allocate the budget to faculties and departments. Prepare the Faculty/Department’s annual/quarterly/monthly financial positions for management review.
Devise and monitor cost-effective and efficient data accumulation systems/processes to provide appropriate costing information to management.
Support long-term financial projection to aid in strategic planning.
Finance Business Partnering Support to Faculties:
Provide finance business partnering support to faculty. Enhance finance business partnering capabilities within faculties.
Assist faculty and central management in reviewing faculty budgets and resource allocation.
Drive finance functional synergies across faculties.
Provide support on financial matters that are not centralized (e.g., assisting with withholding tax matters).
Internal Controls:
Identify opportunities for continuous improvement in workflows to achieve greater efficiency.
Review business processes and accounting frameworks to strengthen internal controls and accountability.
Ensure quality control over financial transactions and reporting.
Gift Finance:
Ensure timely receipt and recording of donations and matching grants.
Plan for the utilization of donated funds in accordance with donors’ specifications.
Ensure timely and accurate reporting as needed.
Systems and Processes:
Maintain and ensure that the Faculty/Department’s satellite sub-systems (if any) are properly integrated with the University’s ERP systems.
Continuously provide insights and requirements, and actively participate in or drive projects to support the central team in improving systems and processes.
Qualifications
Bachelor's Degree and above in Finance, Accounting, Business, or a related field. CPA, CFA is a plus.
7-10 years of progressive experience in finance with a focus in financial planning, strategy development and analysis experience.
Experience in people management is preferred.
Excellent communication, stakeholder management, and problem-solving abilities. Communicates in a clear, succinct, organized and convincing manner.
Independent, resourceful, and able to work collaboratively with business stakeholders.
Strong project and change management skillsets, including the ability to coordinate and balance multiple workstreams in time-sensitive environment, under pressure and meeting deadlines.
Experience in using data analytics and technology tools to deliver FP&A outcomes.
Good working knowledge of IFRS, business processes and controls

Job Description

Reporting to Faculty Finance Lead, the incumbent will act as Finance Business Partner to Faculty of Science.

Duties and responsibilities include, but are not limited to the following

  • Monitor budget and provide financial information, forecasting and analysis to help guide stakeholders in decision making.
  • Attend to stakeholders' queries and provide advice to departments on financial matters, policies and procedures.
  • Review and approve financial transactions and journals.
  • Ensure timely submission of fund requisitions, grant disbursements and grant billing for research projects. Monitor research projects accounts on utilisation and timely closure and refunds to grantors upon project completion. Assist in grant claims, grant audits, addressing grantor's requests for supporting documents, adjustments etc for all research projects.
  • Review of dormant accountsWBS and other GLs as and when initiated by OFN Central.
  • Conduct periodic review of unreconciled item from key transactions, budget deficit, WBS fund balances under the Risk Control Matrix (RCM) framework.
  • Review and improve processes to increase productivity and efficiency.
  • Manage and provide guidance to direct report(s).

Qualifications

  • Degree in Finance/Business/Accounting.
  • Working experience of 5-7 years.
  • Proven work experience as a Finance Officer, or in similar roles.
  • Excellent analytical and numerical skills.
  • Proficient in Microsoft Excel and PowerPoint.
  • Working knowledge of SAP S4 Hana, Power BI and RPA will be an added advantage.
  • Possess strong customer and communication skills in managing stakeholders and team.
  • Able to work independently, is meticulous and proactive.
  • Good team player.

Reporting to the Executive Director, Faculty Administration and Support, you will lead and manage a global team dedicated to delivering high-quality administrative and operational support to faculty members. You will be responsible for ensuring the effective organization, delivery, and continuous improvement of faculty services. Your role within the team

Global Team Management and Payroll

  • Global Team Coordination:
  • Manage a cross-campus team (France and Singapore), ensuring seamless communication, task alignment, and policy consistency across locations.
  • Payroll and Overload Payment Administration:
  • Lead and control the preparation and processing of payroll and overload payments for faculty across all campuses.
  • Faculty-specific Payroll Support:
  • Primary lead for Singapore and Abu Dhabi faculty payroll and overload management.
  • Act as backup payroll coordinator for France and North America faculty.

Faculty Credits and Workload Management

  • MTL Forms Coordination:
  • Oversee the management and timely submission of MTL forms for SGP and ABD faculty.
  • Credits Allocation and Entry:
  • Collaborate with the Dean of Faculty (DoF) and Dean of Research (DoR) at the beginning of each academic year to allocate teaching credits for global faculty.

  • Onboarding Coordination:

  • Immigration and Relocation:

Financial Operations

  • Financial Year-End Closing:

Leave Management

  • Monitor and manage faculty leave, provide policy information, and update credit allocations in PeopleSoft accordingly.

Governance and Strategic Support

  • Faculty Activity Report (FAR) Process Leadership and Support for CAC
  • Lead the annual Faculty Activity Report (FAR) process, ensuring faculty submissions and evaluations are completed on schedule.
  • Prepare and maintain CAC meeting minutes.

Salary Letters Preparation

  • Support the Dean of Faculty during the annual faculty salary review process by preparing salary letters for faculty (globally), working alongside a team member.

Faculty Engagement and Recruiting

  • Manage a global team supporting recruitment logistics, including candidate engagement and providing detailed briefings on INSEAD's administrative structure and processes.

Event Planning

  • Organize and coordinate faculty events in Singapore.

Attestation Letters/Visa Letters/Any Other Official Letters

  • Prepare and coordinate attestation and visa support letters for faculty and candidates as required for immigration processes.

Faculty Handbook Updates

  • Update the Faculty Handbook with changes and amendments, in collaboration with the Dean of Faculty.

The ideal candidate profile

  • Bachelor's degree in any discipline; a postgraduate qualification is an advantage.
  • Minimum of 8 years of experience in administrative and team management roles, preferably in an international or academic environment.
  • Proven experience in leading and supervising diverse teams across multiple locations.

We're seeking a highly organised and proactive Senior Executive, Faculty Ops & Support to provide exceptional operational and administrative assistance to faculty members in the School of Materials Science & Engineering (MSE). Reporting to Head, Faculty Affairs, this role provides secretarial and PA support and manages day-to-day logistics such as travel, events, and space administration. You'll be a go-to problem solver, streamlining processes while building trusted relationships across the school so that faculty can prioritise their core teaching and research responsibilities.

Key Responsibilities:

Executive & Secretarial Support

  • Serve as Personal Assistant (PA) to the Associate Chair Faculty, including scheduling, meetings, and follow-up actions.
  • Provide shared administrative support to a group of faculty members, reducing their administrative workload.
  • Prioritise and triage faculty requests based on urgency, deadlines, and scope.
  • Maintain confidentiality and handle sensitive documentation with accuracy and discretion.

Travel & Logistics

  • Support travel planning, bookings, itineraries, reimbursements, and claims processing for faculty.

Events & Engagement

  • Support planning and execution events such as seminars, conferences, and workshops.

Space Management

  • Provide administrative support to the Head, Faculty Affairs for research focused laboratory spaces.

Faculty Appointment Administration

  • Liaise with Shared Services team to advance Faculty appointment, re-appointment, and related processes on Workday.
  • Perform any other duties as assigned to support the team's and school's objectives.

Qualifications:

  • Diploma in business administration, education, or related field.
  • 3–5 years of professional administrative experience, ideally in higher education or research-intensive settings.
  • Proven experience supporting leaders and managing complex workflows (travel, events, scheduling, logistics).
  • Strong organisational and time-management skills with the ability to meet deadlines.
  • Demonstrated adaptability and resilience, with the ability to adjust to evolving priorities.
  • Excellent interpersonal and written communication skills.
  • Proficiency in productivity and collaboration tools; familiarity with Workday preferred.
