Role Overview
We are seeking a meticulous and detail-oriented Export Documentation & Operations Executive to manage export documentation, coordinate shipments, and facilitate seamless communication between clients and our subsidiaries. This role requires strong organizational skills, proficiency in Microsoft Excel, and the ability to thrive in a dynamic environment.
Key Responsibilities
1. Export Documentation & Coordination
Prepare and manage all export-related documents, including quotations, invoices, sales orders, proforma invoices, purchase orders, packing lists, and delivery orders.
Utilize Microsoft Excel extensively to create, modify, and maintain essential documents such as contracts, packing lists, and invoices.
Ensure all documentation complies with regulatory and internal requirements.
Coordinate shipments with factories, freight forwarders, and clients to ensure timely and compliant deliveries.
2. Client & subsidiary Communication
Act as the primary point of contact for international clients, ensuring smooth communication and timely updates.
Communicate effectively with internal teams and stakeholders across Singapore, China, Latin America and Hong Kong using platforms such as Slack, WeChat, QQ, Email, and WhatsApp.
3. Operational & Strategic Support
Maintain accurate and well-organized records to support seamless operations.
Verify contracts, loading plans, and customer instructions to ensure compliance and operational excellence.
Assist in preparing quotation sheets, sales orders and other such documentation.
Work closely with management to streamline processes and improve efficiency.
Qualifications & Requirements
Education & Experience: Minimum 1-2 years of experience in export operations, logistics, international trade or document control.
Technical Skills: Advanced Microsoft Excel proficiency is essential (e.g., managing large datasets, creating and updating packing lists and invoices).
Language Proficiency: Fluency in English is required. Mandarin proficiency is advantageous for coordinating with our China team and reviewing Mandarin documents. However, all applications are considered based on merit, in compliance with fair employment practices.
