Job Responsibilities
Administrative Support
- Assist the Paiza Lifestyle department with scheduling meetings, managing calendars, and preparing documents.
- Maintain organized records of department expenses, accruals and vendor contracts.
- Handle correspondence with clients and vendors, including emails, phone calls, and meeting notes.
- Help develop detailed event plans, including timelines, budgets, and itineraries.
- Research and gather information on potential venues, vendors, and experience providers.
- Assist with contract negotiations and ensure all agreements are properly documented.
- Coordinate transportation, accommodation, and security arrangements for events and experiences.
- Ensure timely delivery and setup of event components, liaising with vendors and suppliers.
- Prepare and distribute event materials, such as invitations, guest lists and marketing material on behalf of team.

- Work closely with the Operations team to develop logistics plans and coordinate with vendors to ensure smooth event operations.
- Develop training content and conduct event crew training sessions
- Carry out on-site inspections and oversee event setups
- Team Collaboration:
- Collaborate effectively with colleagues in creative, marketing, and operations departments to ensure a cohesive and integrated approach to project delivery.
- Foster a positive and collaborative work environment, motivating and guiding team members to achieve project goals.
- Post-Event Evaluation:
- Conduct post-event evaluations to assess project success and gather feedback for continuous improvement.
Qualifications:
- Educational background in Events Management, Marketing, Business, or related field.
- Minimum 3 years working experience. Experience in events project management within an agency environment preferred.
- Strong organisational and multitasking skills with keen attention to detail.
- Excellent communication and interpersonal skills, with the ability to build and maintain client relationships.
- Proficient in MS Office.
- Ability to work under pressure and meet tight deadlines.
- Creative problem-solving skills and a proactive approach to challenges in stressful situations.
