Job Description
The Event Services Manager serves as the key liaison between clients and hotel operations, responsible for coordinating all aspects of group room blocks and catering events. The role ensures seamless planning and flawless execution from pre-arrival arrangements to post-event follow-up, delivering exceptional guest experiences while upholding the hotel’s brand and service standards.
Areas of Focus:Manage group accommodation logistics, event coordination, and client communication with precision and efficiency. Ensure that operational teams are well-informed and aligned to deliver events that meet client expectations and maximise revenue opportunities.
Responsibilities / Duties:Group Room Coordination
- Manage group rooming lists, arrival and departure patterns, and special guest requests.
- Coordinate with Reservations and Front Office to ensure accurate block management and smooth check-in/check-out processes.
- Prepare and distribute detailed group resumes and internal memos to relevant departments (Housekeeping, Concierge, Front Desk, etc.).
- Monitor group pickup trends, release dates, and provide updates to Sales and Revenue teams.
- Handle VIP arrangements, amenities, and special requirements for group organisers and key attendees.
Event & Catering Coordination
- Review Banquet Event Orders (BEOs) and work closely with Culinary, Banquet, and AV teams to ensure all details are accurately executed.
- Conduct pre-event briefings and post-event reviews with clients and internal stakeholders.
- Oversee on-site logistics including event setup, service flow, and guest experience management.
- Serve as the primary point of contact during events, resolving issues swiftly and effectively.
Client & Guest Relations
- Build and maintain strong client relationships through proactive communication and professional service.
- Support Sales Managers during client site inspections and event walkthroughs.
- Ensure all contracted services and deliverables are fulfilled to exceed client expectations.
Administrative & Reporting Duties
- Maintain accurate records of correspondence, event changes, and billing details.
- Compile post-event feedback and assist with billing reconciliation and reporting.
- Prepare reports, forecasts, and event summaries as required.
- Adhere to departmental policies and procedures, ensuring consistent compliance.
System Knowledge & Collaboration
- Proficient in hotel systems such as Opera , Delphi , or equivalent.
- Familiarity with analytical and reporting tools such as Revinate , Agency360 , Demand360 , Cvent , Lanyon , Sabre , and Duetto is advantageous.
- Work collaboratively with all departments to support operational efficiency and guest satisfaction.
Other Responsibilities
- Undertake additional tasks or projects assigned by management to support the hotel’s Catering & Events business objectives.
- Demonstrate flexibility in adapting to evolving business priorities and guest requirements.
- Diploma or Degree in Hospitality Management or related field preferred.
- Prior experience in hotel event services, catering, or front office operations strongly preferred.
- Strong organisational, coordination, and multitasking skills with keen attention to detail.
- Excellent interpersonal and written communication abilities.

About the Role
As a Senior / Associate Executive, you will be Operations Support Services reporting to Event Support, Telecom & ROF Services Lead to oversee a team to provide day-to-day operations and administrative support for Event Support and Audio-Visual (AV) systems.
Some Key Responsibilities Include:
Manage contracts related to AV services and vendors
Coordinate the setup of venues and manage overall logistics
Operate and troubleshoot AV equipment as well as provide live technical support during events
Manage an inventory of AV equipment and maintain its condition
Be the primary point of contact for all technical aspects of events
Manage Facility Reservation System to ensure users’ requirements are met in terms of granting approvals, liaising on facility, rental/manpower rates, etc.
Assist Service Lead with tracking of Key Performance Indicators, event support income, expenses, and budget planning
Job Requirements
Minimum a Diploma in Audio-Visual (AV) Technology, Infocomm Technology, or related discipline
At least 3 years of relevant working experience, preferably in the Healthcare Industry
Knowledgeable of AV system design concepts, projectors, sound systems, computer hardware, and Windows Operating System
Basic knowledge in Creston and Extron products is an added advantage
Possess strong administrative, problem-solving, written, and communication skills
