Job Title: Event Services Executive

We are seeking an experienced and skilled Event Manager to plan and execute events that promote IT training programs and services. The successful candidate will be responsible for coordinating various events, including roadshows and product launches.

  1. Plan and coordinate events from conception to execution
  2. Liaise with suppliers and vendors to negotiate prices and arrangements
  3. Research venues and vendors that fit the occasion within budget
  4. Manage logistics, including venue bookings, permits, and booth setup arrangements
  5. Oversee the entire event process, from planning and execution to on-site supervision, teardown, and reporting

Requirements:

  • Diploma in Events Management/Business/Marketing or equivalent
  • Minimum of 2 years of relevant experience in event coordination

  • Work closely with Banquet and other departments to facilitate services agreed upon and to ensure the overall success of the event.
  • Promote teamwork and quality service through daily communication and coordination with other departments. Key departmental contacts include all hotel departments.
  • Establish strong working relationship with meeting event organisers and maintain accurate and updated information about their needs for their function.
  • Manage events functions to achieve the optimum departmental revenue targets
  • Follow up on potential sales leads
  • Design and plan meeting packages to maximise the conversions and profitability for the hotel.
  • Negotiate and review meeting and events packages offered to clients
  • Represent the hotel in roadshows and events as required
  • Produce monthly sales-related reports and sales forecasts for assigned area of responsibility.
  • Prepare contracts for confirmed meeting events
  • Be up to date with current meeting and competitive packages in the market
  • Confident and professional approach when dealing with clients suppliers
  • Promote guest satisfaction and encourage referrals
  • Handle feedback and resolve complaints from guests
  • Maintain client files and update information daily in accordance with established departmental policies and procedures.
  • Follow up with clients regularly during and after departure to ensure satisfaction
  • Monitor and handle inquiry calls and provide client proposals in accordance with established departmental policies and procedures.
  • Prepare event orders, proposals, confirmation and other agreements
  • Perform other duties as assigned
  • Maintaining a close working relationship with Vendors and Partners

What We Need From You

  • Diploma/Degree in Marketing/ Tourism/Hospitality Management/Travel or related disciplines
  • 2-3 years’ experience in Sales within the Hospitality Industry
  • Good communication skills and shows initiative
  • Well versed in systems such as: Opera
  • Proficient in Microsoft Office applications
  • Flexible work approach

    * Liaise with entrants, sponsors, delegates & suppliers
    * Lead production of show elements: AV, staging, trophies, certificates
    * Drive entries, table sales, and delegate attendance
    * Manage event websites, communications, and temp staff
    * Deliver smooth, impactful event experiences from start to finish
  • Meeting the revenue targets set for awards entries, table sales and delegates
  • Encourage entries, table sales and delegates from the industry
  • Calling all winners & finalists via phone to ensure they book tables for the event.

You will have:

  • A Bachelor Degree in a related field & prior event and client facing experience
    * Strong communication skills
    * A self-starter mindset with a "can do" attitude
    * Ability to stay calm under pressure & meet tight deadlines
    * A team player who takes pride in flawless execution
