Seeking a Contract Administrator to support our educational initiatives.
Job Description:
The successful candidate will be responsible for monitoring the overall progress of admission cycles, preparing applicant lists for programme directors' screening and selection, pre-screening applications and certificates, planning, communicating, and attending student online admission interviews, following up with student acceptance rates and deposits received, and preparing lecture theatre recordings for each trimester.
Responsibilities include supporting examination operations, including invigilation and script checking, as well as assisting in planning and executing student and alumni events, including networking opportunities.
Requirements:
Min. Diploma Holder with min. 3 years of relevant working experience required.
Skills and Qualifications:
Candidates should possess skills in Microsoft Office, including PowerPoint, Excel, and Word, as well as interpersonal skills, inventory management, administration, data entry, and networking.

Location: Lorong Chuan
Working hours: 8am – 5pm (Fully onsite)
Industry: Education
· Support and guide team of HR Business Partners with the establishment of sound HR operational processes within their respective client groups.
· Act as the go-to person for questions supporting the growth of the HR Business Partners
· Monitor and manage performance appraisals of the HR Business Partners.
HR Projects
· Collaborate with the Director of HR offering support and execution of strategic HR projects for the whole school.
· Participate in projects driven and managed by the HR team to enhance the working lives for all employees, and:
o Grow CPD by working on stand-alone projects.
o Grow and strengthen the team by working on team projects.
· Lead the administrative processes surrounding the annual Teacher/TA Contract Renewal Exercise.
Subject Matter Expert for the following:
· Performance Management
· Governance over HRIS data integrity
· Preparation and analysis of multiple HR reports (especially ad hoc) where necessary in partnership with Payroll Specialist and HRBPs.
· Management of school wide Mandatory Training
Individual Contributor (HRBP)
· Support respective client groups by being their main point of contact in all HR matters:
o Discuss and work in collaboration with School Sub-Heads/Operation Dept Heads with regards to staffing, HR advisory services and other topics relating to employee wellbeing.
o Drive and manage performance management cases within the respective client groups.
o Work closely with leaders within the respective client groups for HR projects and procedures relevant to the needs of these departments.
o Any other HR support services that may be required.
Recruitment and Onboarding
o Manage end to end recruitment and onboarding activities for respective client groups including, but not limited to:
o Alignment around staffing needs and the recruitment approach with hiring managers.
o Advertise vacancies through applicable job advertisement platforms.
o Coordinate all interview and selection processes including screening applicants, scheduling interviews, designing interview questions, and attending interviews and assessments.
o Prepare and issue employment contracts and new hire documentation.
o Coordinate with the Payroll Specialist for all new joiners.
o Manage the onboarding process for successful candidates including, but not limited to, compliance training and new starter induction program.
o Manage the needs of expatriate hires whilst liaising with vendors (ie: visa application, shipping and temporary accommodation) to ensure a seamless relocation experience.
o Manage the probation period process to work with managers when approaching the mid and end of probation reviews.
o Any other related services that may be required.
Exit Procedures and Offboarding
· Process and manage the respective client groups exit procedures for leaving employees:
o Work closely with line managers to complete terminations (resignations, end of contract, etc).
o Coordinate with the Payroll Specialist for all leaving employees.
o Complete the exit procedures for all leaving employees within the respective client groups.
o Any other related services that may be required.
Life Cycle
· Work with employees, their managers and/or teams to support any life cycle events such as:
o Probation (pass, extensions, and failures)
o Family Friendly Leave (Maternity, Paternity, Childcare).
o Any other leave (annual, NS, compassionate, training, etc).
o Visa renewals (where required).
o Learning & Development.
o Administration (creating and updating new and existing letters/processes/procedures).
Requirements
· A recognised degree in HRM or equivalent.
· Minimum of 8 years of HR Generalist/Business Partner experience essential.
· Solid managerial experience
· Essential skills: Hands-on recruitment, excellent stakeholder management experience, communication skills, knowledge of employment laws and regulations
· High degree of confidentiality and discretion essential
· High level of data management, reporting and presentation is required for this position
· Project Management skills
· Payroll knowledge (from a checking perspective only) and HRIS platform knowledge preferred

About the role
