Position Overview
The Commercial Operations Specialist ensures high customer satisfaction by providing prompt, professional, and accurate support to clients, sales, and stakeholders, handling inquiries and resolving issues efficiently.

Key Responsibilities

Required Qualifications

  • Bachelor's degree in Business Administration.
  • 2-3 years experience in customer contact/service center environment.
  • Experience with SAP preferred (Entry Level to 4 years).
  • Excellent communication and interpersonal skills.
  • Ability to multitask and handle disputes/emergencies calmly.
  • Strong customer service orientation.
  • Proficiency in MS Office and SAP.

The successful candidate will support the Commercial Manager in overseeing all commercial aspects of a given project. This includes working closely with the project delivery team to ensure that all commercial control documents are prepared and implemented effectively.

Key Responsibilities

  • Pre-Construction Stage
    • Assist in preparing key commercial control documents, including the Procurement Schedule, Cashflow Forecast, and Margin Improvement Strategy, to ensure the project is well-planned.
    • Sending enquiries to the market for assigned packages.
    • Making the team and client aware of long lead items and obtaining clients' approval for ordering materials by air freight.
    • Analysing subcontractor and supplier tender returns.
    • Flagging any risks, such as discrepancies in tender documents, to the lead estimator.
    • Preparing and comparing material quantity take-offs and bills of quantities according to specifications and drawings submitted by the client.
    • Working with the estimating team as required.
    • Gaining an understanding of the commercial strategy for the project, set by the Commercial Director.
  • Post-Contract
    • Procuring assigned packages on the project in line with the procurement schedule and budget, inclusive of purchase orders, LOIs, Subcontractors, etc.
    • Evaluating quotations and having meetings with sub-contractors to ensure that there are no scope gaps and the cost fits within the budget, finalising the best quotation with the Commercial Manager and preparing the order for approval.
    • Monitoring project cash flow against the forecast, with the view to ensuring the project is always cash-positive.
    • Own and administer works packages delegated by the project manager to final account, inclusive of monthly payments, dealing with variations, and all matters pertaining to administering their subcontract correctly.
    • Assisting in change management, inclusive of the valuation of variations, quoting Request for Proposal (RFP)'s, issuing respective notices, up and downstream, all within the timelines of the main contract.
    • Assisting the commercial lead in all required commercial monthly reporting both internally and to the client.
    • Always looking to improve margin and suggesting ways to do so to the project lead, assisting in techniques employed.
    • Assisting in administering the Main Contract, ensuring contract terms are understood and dealt with accordingly.
    • Assisting in maintaining project margin in line with commercial strategy.
    • Assisting in the preparation of the external valuation.
    • Assisting in maintaining control of project documents, including drawings and records.
    • Attending Project Meetings as required by the project manager.
  • Completion & Post Completion
    • Assisting in the agreement of the final account with clients and trade contractors within stipulated benchmarks and timelines.
    • Assisting in ensuring the project is closed out, including applying for a certificate of release of retention, upon making good defects by the Construction Department.
    • Monitoring retention releases for trade contractors.
    • Attending project post-mortems.
    • Attending to additional works required by the client after completion.
    • Liaising with the Project Manager on trade contractors' defects and contra charges (if any).

Requirements:

  • Bachelor's degree in Engineering
  • Demonstrable experience as a Commercial Director, Sales Director or similar role with a minimum of 15 years in business development or commercial management.
  • Extensive experience in market analysis and strategic planning with a proven track record of achieving revenue targets and business growth.
  • Strong understanding of market dynamics, sales strategies and business development principles in the African context.
