The Talent
Minimum Diploma qualification
Interest in Arts Management, Communications, Public Policy, or related fields

Job Description
Review, edit, and proofread marketing materials for accuracy and consistency
Update website content to reflect current programmes
Ensure all communications follow brand guidelines
Liaise regularly with arts, heritage, and community partners
Coordinate meetings and communication with external stakeholders
Maintain partner databases and communication channels
Support event planning, vendor coordination, and on-site management

Senior / Venue Executive (at Performing Arts Venues), Office of Venue Management

Job Description
Reporting to the Senior Manager, this individual will be responsible for promoting SOTA's performing arts venues and gallery as a venue of choice for performances and events. This includes formulating and implementing strategies, policies and procedures and relevant matters to optimise utilisation, sales revenue, and progressive improvements to achieve the targets set. The individual will act as a liaison between hirers and in-house teams to ensure the School and hirers' venue hire, production and operation procedures and project needs are met and delivered in a safe and orderly working environment while upholding excellent service standards. A personable, detailed-oriented, dynamic and adaptable individual who meets deadlines and has strong administrative and operational skills is likely to succeed in this versatile and challenging role encompassing responsibilities of venue sales and production operations.
Duties and Responsibilities
- Manage venue bookings, public relations, and customer relationships, and provide for the needs of venue hirers and retail lessees to be met while adhering to SOTA's prevailing policies and procedures
- Responsible for promoting SOTA's performing arts venues and gallery as a venue of choice for performances and events. This includes formulating and implementing strategies, policies and procedures and relevant matters to optimise utilisation, sales revenue, and progressive improvements to achieve the targets set
- Handle hotline, email booking enquiries regarding venue specifications, capabilities of all performing arts venues and gallery, coordinate site visits and meetings, consolidate the necessary documentation and information for the events
- Utilise the Event Business Management System (EBMS) to manage venue bookings, generate estimates, contracts, monthly/ quarterly reports. Reconcile ticket sales reports from hirers' appointed ticketing agents before finalising billing with the Office of Finance
- Act as liaison between hirer's production team and OVM in-house teams
- Serve as covering Production Assistant at the Back-of-House or Front-of-House when required, to coordinate and manage the operations of the venues to ensure that events are supported to excellent service standards
- Engage in cross-functions duties within the department in managing events, retail management, advertising spaces, venue and production operations, project management
- Support school-wide events and key activities
- Adhere to SOTA's prevailing policies and procedures
- Accept any other duties assigned by Reporting Officer or Management of the School
Job Requirements
- Degree or equivalent
- Minimum 3 years of relevant experience in sales/ customer relationship/ event/ production management; experience in the arts and entertainment industry, live performance management in performing arts venues preferred
- Familiar with policies and procedures in performing arts venues; retail lease management will be an added advantage
- Excellent customer relationship management, communication, and interpersonal skills, including strong organisational and report writing skills
- Possess positive and motivated personality with good initiative, and pro-active with a high level of commitment to meet deadlines
- Strong team player, meticulous, analytical and resourceful with the ability to work independently
- Able to multi-task and perform in a fast-paced environment and handle complex situations calmly and professionally
- Plenty of initiative and enthusiasm and strong passion for the arts and the nurturing of youth within the arts education industry
- May be required to work on evenings, weekends and/or Public Holidays
