Responsibilities
Administration:
This role involves providing administrative and planning support for the Diploma and Degree courses under the Dean’s Office, Faculty of Art & Design. This includes managing day-to-day operations such as resource and facilities planning, course/timetable set-up, budget and expenditure records, and organizing overseas trips for the faculty. Additionally, it involves maintaining and monitoring records of students’ progress, performance, and attendance, as well as assisting in preparing meeting schedules and ensuring the confidentiality of presentation materials, papers, reports, and other documentation required for meetings.
Stakeholder Management:
You will handle enquiries, complaints, and correspondences with students and parents. It also involves coordinating and communicating with university partners, which includes taking meeting minutes and preparing/verifying financial records and documents.
Policy Review:
You will manage and review administrative policies and systems to ensure they are effective and continuously improved.
In addition, you will assist in any other projects, duties and tasks as assigned.
Requirements
We are looking for candidates with a degree qualification, with a minimum of three years of relevant working experience, preferably in administration. The ideal candidate should be proactive, meticulous, and possess good interpersonal, administrative, and organizational skills.

Summary of the Role

The Junior School Specialist Teaching Assistant (Art & Design) provides teaching, pastoral and administrative support for the Art & Design Department, under the guidance of the Head of Department and classroom teachers. The role requires initiative, flexibility and dedication, with a particular emphasis on the maintenance and management of spaces, resources and displays. When administrative duties are completed, the post-holder is expected to actively support teaching and learning in lessons.


Key Duties and Responsibilities

  1. Encourage a culture of respect, inclusion, diversity and equity, ensuring that all members of the School community feel valued, supported and represented.
  2. Provide support for individual students, both in lessons and in small groups, to enable full participation and progress in Art & Design activities.
  3. Assist with practical/higher-risk activities, ensuring safe and effective use of tools, equipment and materials.
  4. Prepare materials and equipment in advance of practical lessons and tidy away afterwards.
  5. Assist with demonstrations and examples as directed by teachers.
  6. Provide feedback to teachers on individual students’ learning and pastoral needs.
  7. Help maintain an inclusive, positive and stimulating classroom environment.

Pastoral Care

  1. Demonstrate a caring, supportive attitude towards every student.
  2. Support classroom teachers and the Junior School Leadership Team in matters relating to behaviour and well-being.
  3. Supervise students in line with the School’s Code of Conduct and pastoral policies.
  4. Record observations and provide feedback to teachers as appropriate.

Administrative and Resource Management

  1. Ensure all departmental materials, tools and equipment are well-maintained, safe and stored securely.
  2. Maintain and manage specialist technologies and resources.
  3. Oversee ordering and stock management of consumables and specialist resources.
  4. Prepare, mount and present displays of students’ work in classrooms and wider School spaces.
  5. Photograph and document student work for departmental use and student portfolios.
  6. Assist with the organisation of events, exhibitions, visiting practitioners and trips.

Organisation and Communication

  1. Contribute to daily routines and assist with forward planning of Art & Design events and initiatives.
  2. Communicate effectively with staff, students and parents (where necessary), referring queries to teachers or the Head of Department as appropriate.
  3. Actively participate in departmental and whole-School meetings where relevant.

Professional Development

  1. Attend in-service training and professional development sessions to maintain knowledge of Art & Design processes, health and safety, and pedagogy.
  2. Keep accurate records of professional development in accordance with School requirements.
  3. Seek out training and support opportunities to enhance professional practice.

Safeguarding

  1. Abide by the School’s safeguarding and child protection policies and keep abreast of any changes
  2. Remain alert to and report any safeguarding concerns in line with School procedures.
  3. Keep up to date with changes in safeguarding legislation and best practice.
  4. Maintain confidentiality and data protection standards at all times.

Other Duties

  1. Understand and comply with all relevant School policies (health and safety, fire, emergency procedures, etc.).
  2. Carry out any other reasonable duties within the overall function of the role, commensurate with its responsibilities.
