What You'll Do
As the VM Operations Coordinator, you will be the link between creativity and execution-making sure every visual concept becomes a reality with seamless planning, timely delivery, and budget control. Your responsibilities will include:
Operations & Project Coordination
- Partner with HQ, regional, and local VM teams to coordinate purchasing for window displays, lightbox visuals, in-store installations, store openings, and other VM projects.
- Track seasonal window prop orders, vendor shipments, and local production timelines.
- Work closely with logistics teams to ensure smooth customs clearance and on-time deliveries.
- Oversee prop inventory to optimize recycling, reduce storage costs, and support sustainability initiatives.
- Consolidate monthly expense reports across multiple markets and currencies, ensuring accuracy and compliance with HQ guidelines.
- Manage VM budgets across categories, balancing creative ambition with financial discipline.
- Liaise with finance teams to ensure all procurement and spending is well-documented and aligned with allocations.
- Maintain a comprehensive VM database including props history, costs, visuals, bidding records, and vendor performance.
- Support procurement processes (POs, invoices, bidding) in line with internal control policies.
- Collaborate with teams to drive sustainability-focused projects.
- Minimum 2 years' experience in accounting, operations, or administration within a multinational company-retail or luxury industry preferred.
- Strong organizational skills and keen attention to detail.
- Confident working independently while being a collaborative team player.
- Positive, proactive, and solutions-oriented mindset.
- Excellent communication skills in English, both written and spoken.
- Proficient in Microsoft Excel and PowerPoint.

to support the company's success by providing administrative, operational, and accounting management support for the VM team in the South Asia region.
Job Responsibilities
Operations Support
Coordinate VM material purchasing with HQ, regional, and local VM teams for window displays, lightbox visuals, in-store displays, store openings, and VM projects.
Consolidate and build VM project data in collaboration with HQ and regional/local VM teams.
Monitor seasonal window props orders, transportation from vendors, and local production status regularly.

Coordinate procurement procedures for VM projects in line with internal control policies.
Gather vendor evaluations and feedback from each market.
Collaborate on sustainability projects related to VM activities.
Profile
Minimum 5 years of experience in accounting, operations, or administration within a multinational company.
