Provide operational support (billings & operations) to internal & external customers by ensuring accurate & timely invoices, billing reports and shipping documents with good documentation control to achieve overall customer satisfaction.
1. Assist supervisor/manager to lead team of operations assistants (accounting & Operations), by providing support and guidance to them as necessary.
2. Check and follow up on the daily exported shipment and ensuring billing, billing report and shipping documentation are correctly executed and apply as per Customer Standard Operating Procedures (SOPs) to achieve 100% customer satisfaction at all times.
3. Ensure all documentations (invoices, reports and shipping documents) are promptly sent, mailed and file and comply to local rules and regulations.
4. Ensure to meet all Pharmaceutical & Healthcare requirement as per Good Distribution Practice (GDP) /Good Distribution Practice for Medical Devices (GDPMDS) regulations and directives, as required.
5. Follow up on dispute shipments documentation (invoices, customs clearance permits, shipping document, etc.) and has it resolve immediately.
6. Ensure all paperwork (invoices, reports, permits, Airway bills) are prepared and in proper order that meets customer's profiles.
7. Follow up on Certified True Copies (CTC) requests from customer and accounting team.
8. Follow up with destination office on Free Domicile Shipments (FDS) reports.
9. Review and improve existing work processes and increase productivity of the department.
10. Ensure FSC exception customers and also Airlines Fuel Surcharge (FSC) listing costs are updated promptly.
11. Provide customer assistance to call in customer.
Minimum tertiary education with 3 to 5 years' relevant airfreight
operations experience.
1. Computer literate and able to handle email, excel and word applications.
2. Good spoken and written English with good customer service skill.
3. Possess initiative and able to work under pressure and independently with minimal supervision.
4. Good organization skills with eye for details.
